This page provides a quick overview of the most important questions about using WueCampus. Answers are intentionally short and can be expanded via detailed guides if needed.


What can people with the role Dozent and WueCampus-Kursbetreuer do?

The difference between the roles Dozent and WueCampus-Kursbetreuer is small. Both roles are administratively almost equal and have extensive editing rights within a course.
Key difference
A WueCampus-Kursbetreuer is not displayed as a visible contact person in the course. Dozent, on the other hand:
  • are shown in the course as a visible contact person
  • can therefore be contacted directly by other WueCampus users via their profile more easily
  • have a visible email address in the system
In summary: the roles are functionally equivalent but differ in public visibility as a contact person.

How do I request a new semester-based course?

A semester-based course is the standard case. If you would like to set up a course for the current semester:
  1. Open "Course request" in the top navigation and select "Course request: winter/summer term" for the relevant semester
  2. The course must already exist in WueStudy
  3. If you want to use automatic enrolment of participants from WueStudy, select the matching event (e.g. tutorial groups with registration)
  4. Enter the WueStudy event number ("Number" field)
  5. Follow the wizard to the end and submit the request

How do I request a new cross-semester course?

A non-semester-based course is an irregular course that is not tied to a semester or an entry in WueStudy.
  1. Select "Course request > Cross-semester"
  2. Fill in the required information
In the "Reasons for wanting this course" field, you can specify additional requests, for example:
  • meta enrolments
  • more complex course imports
  • special technical settings
Important note: Cross-semester courses generally may not be used as a substitute for regular courses. We insist on a request as a semester-based course if it corresponds to a regular course. If there are problems selecting a group or the request cannot find your event number, please contact WueCampus Support.


When will my course be activated?

Semester-based courses are created automatically and immediately after the course request is completed. Cross-semester courses are set up manually by WueCampus Support. Processing is carried out as promptly as possible.


How long does a course remain available?
Semester-based courses
  • remain actively available in the system for 4 years (8 semesters)
  • afterwards:
    • archived for about 2 further years
    • restoration possible only on request
    • earlier deletion possible in individual cases
Cross-semester courses
A course is marked for deletion if:
  • it has not been used for 2 years, or
  • there are no course participants with edit rights left
Deletion procedure:
  • course coordinators receive a notification by email
  • it is possible to object to the deletion (opt-out)
  • if an objection is raised, the course is kept for another 2 years
  • without an objection, the course is deleted; Courses without course coordinators are immediately deleted
Important note: No backups are kept for cross-semester courses deleted in this way.


Can I add multiple course coordinators?

Yes, you can add as many coordinators as you like. Here's how:
  1. Open your course
  2. Navigate to "Participants"
  3. Click "Enrol users"
  4. Search for the desired person and add them
You can assign a role directly (Dozent or WueCampus-Kursbetreuer) or change the role later in the participant list under "Roles".


Course visibility: when do students see the course?

Students see your course when:
  • the course visibility is set to "Show" in the settings
  • the current date falls between the course start and course end dates
If these conditions are met, the course appears:
  • in the course catalogue
  • in the course search
  • and (if enrolled) under "My courses"


When do I need the group mode?

Using groups makes sense if you work with large numbers of participants or want to offer content and activities specifically to certain subgroups.
Typical use cases:
  • Separate work areas for students
  • restricting:
    • forum posts
    • discussions
    • announcements
  • using different:
    • submission deadlines
    • gradings per group
    • access to materials
When using the "Separate groups" group mode, students can only see the content and posts of their own group. However, you can also use groups without "separate groups" for organising purposes, or to only restrict access to specific activities without hindering groupmembers to interact outside of their groups. With the "Group choice" activity, students can, for example, organise themselves into groups.
Note on use: Group mode offers many possibilities but also increases the complexity of course administration. Its use should therefore be well planned.


How can I test my course from a student's perspective?

You have two options. The quick option lets you get a first impression of your course. This is done via the role switch in your profile (top right). Important limitation: not all functions and permissions are displayed correctly this way. The recommended option for more complex courses is testing with a real participant account. If you don't have a colleague you can enrol as a participant, please contact WueCampus Support. We can provide you with a test account for this purpose.


How do I import content from an existing course?

There are three ways to transfer content from an existing course:
  1. Full copy as part of the course request
    • possible directly within the course request process
    • requirement:
      • you are registered as a Dozent in the source course, or
      • you provide the course coordinator's (username) in the request (this person will then also be enrolled as WueCampus-Kursbetreuer)
  2. Full copy into an existing course
    • Open the target course
    • Go to "More > Reuse this course > Import"
    • Select the desired source course and complete the wizard
    Requirement: you must be registered as a Dozent in the source course
  3. Copying individual content ("mass actions")
    • Activate the "massactions" block in the source course
    • Select the desired elements
    • Click "Duplicate to another course"
    This lets you transfer specific materials, activities, and sections to another course, without the usage of a specific wizard or handling complicated backup files.


Which content can be transferred?

In principle, all activities and materials available in WueCampus can be transferred. There is a limitation for content from other systems (e.g. imported courses): this may contain features based on plugins that are not installed. Such content will not be transferred.


What is not included when copying a course?

When a course is fully copied, all course content is transferred. Participant data, student submissions, and gradings are not included.


How do I add new sections (topics/weeks)?

You can add sections in edit mode:
  • between existing sections via the plus icon
  • or at the end of the page via "+ Add section"
Since version 5.1, you can also create subsections. To do so, click the plus icon within a section and select "Subsection".
Important: Empty a subsection before deleting it to avoid a known bug.


How do I add materials or activities?

Click the grey plus icon in edit mode. It appears either between existing activities (on mouse hover) or at the end of a section.
You can also upload materials via drag and drop. Simply drag the file into the desired section and release the mouse button. If you want to upload more than one file, you can proceed as follows:
  • Combine all files into one ZIP file
  • Drag the ZIP file into the course
You can then choose whether to insert the ZIP file as a file or have its contents unpacked automatically. The second option will then put all entries of the ZIP File as single Data Entries in your course room.


How do I change the order of sections and materials?

You can change the order via drag and drop. This works both in the course view and in the course index (left side menu).


How do I show or hide content?

You can control content and sections via the three-dot menu > Availability or on each Elements Settings in the Section: Availability :
  • Show on course page > visible and accessible
  • Hide on course page > not visible and not accessible
  • Available but not shown on course page > not visible, but reachable via a direct link
The last option is useful for hidden tests or activities linked from other elements.


How do I use advanced availability restrictions?

You can attach access conditions to content:
  • Open the activity settings
  • Go to the "Restrict access" section
Possible conditions include, for example: a password, a grade, groups, access rules, and so on. The display behaviour can be controlled via the eye icon. With the open eye, the element is visible but not usable when the restriction criterias are not reached; with the crossed-out eye, the element is also hidden if the conditions are not met.


Where do I change a course's title and description?

You can change all course-specific settings such as title, description, and much more in your course under "Settings". If you are using a single activity view, you will find the settings under "Course > Settings".


Can I change the short name or other greyed-out fields of my course?

Unfortunately, no, you cannot change these yourself. However, you can request a change from WueCampus Support. Changing a greyed-out field requires the administration to update related administrative data in the background. We're happy to do this for you - as a user, you cannot make these changes yourself.


How do I add or change a course image?

You can do this via the settings as well. In your course, go to "Settings > Course images" and upload a new image in the "Course image" field. If an image already exists that you want to remove, click on it. A pop-up opens with further settings for the image (including image rights, author, and name). In this pop-up, click the "Delete" button at the top. The "Course image" field is then empty and can accept a new image, which you upload the usual way (drag and drop or via the plus icon).


What is the difference between the course image and the course header image?

A course image on its own is displayed both inside and outside the course. If a course header image is used in addition, the following display rules apply:
  • Course image: displayed in all views outside the course, including:
    • My courses
    • Dashboard
    • Course catalogue
  • Course header image: used only as the header image within the course.


Which image formats and sizes are recommended?

We recommend the following dimensions:

On our website, course images are always laid out centred. This means the most important part of an image should be in the middle and extend outward from there.
Text or visual highlights near the edges may be cropped or not fully displayed due to layout adjustments, especially in the mobile view. The focus area given in the table, on the other hand, has the highest likelihood of remaining fully visible on all devices and screen sizes. The focus area is meant as an area within the overall sizes depicted in the table. If you resize the overall size, the focus area need to be scaled accordingly.
The dimensions given here serve as guidance and recommendations. They do not have to be strictly followed, but they can help achieve a consistent and appealing appearance. Please note that the suggested sizes and formats may not be optimal for every individual design and can be adjusted depending on your design concept.



The blue banner and highlight colours don't fit my course concept. Can I change these colours?

Yes, you can customise your course's colours. To do this, open the course settings and navigate to the "Wue_Union Theme Settings" section. There you can override both the primary colours and the overview colours of your course. It's important that the colours are given as hex values, for example in the form #AABBCC. If a colour value is not recognised correctly, the system automatically falls back to the default colour. If you're unsure, you can easily find a suitable colour value using an online colour picker such as htmlcolorcodes.com.


What information belongs in the course description?

In the course description, you can briefly explain your course to students or provide additional information. In many cases, however, this field remains empty, as relevant information is already stored in WueStudy and maintained centrally there.
The course description becomes especially important if you bundle several events into a single course. In this case, you should list the corresponding event numbers in the description. This keeps the course findable across different numbers.
Please note, however: entering the event numbers in the description does not create a technical link to WueStudy. If you need such a link, you must contact WueCampus Support and specify the courses to be linked. Please always provide all available information that helps us set this up (at minimum the link to the course and the event numbers and parallel groups to be linked).


Which enrolment methods are available?

WueCampus offers a total of 6 different enrolment methods. As a lecturer, you only have access to three of these methods; the rest are set up by the administration or through special course requests.
  • Manual enrolment: always active; covers participants you enrol manually via the participant list.
  • Self-enrolment: allows participants to enrol themselves in the course. In a new course, the default self-enrolment for the "Student" role is already set up. It has no enrolment key and is disabled by default. Use the pencil icon to set an enrolment key, and the eye icon to activate the enrolment.
    Via "Add method", you can also add further self-enrolments. Through the settings (pencil icon), you can also define start times, duration, and texts here. You can also limit the number of enrolments and change the role assigned via self-enrolment. This allows you to set up multiple self-enrolments for different roles with different passwords.
  • vhb Shibboleth enrolment: if you want to set up a vhb course for use with the vhb Classic portal, you can choose this enrolment method. You will need the course's LV number, which must match in the first three number blocks. All other settings should already correctly reflect the default user groups and should not be changed.
The other three enrolment methods are:
  • Meta-enrolment
  • Enrolment via WueStudy
  • Enrolment via study metadata
These can only be set up or changed by the WueCampus administration and come with significant restrictions. If you have a concept for linking multiple courses together, linking more than one WueStudy event, or automatically enrolling students based on their study status (e.g. current semester number or degree programme), please contact WueCampus Administration to discuss suggestions and implementation.


How do I check who is enrolled?

You can do this in your course via the participant list. There you will see everyone currently enrolled in your course. On the right-hand side of each entry, you'll find the action icons. The i-icon also shows further details about the active enrolments.


How do I manually enrol or unenrol participants?

This is also done via the participant list in your course. There is a "Enrol users" button that opens a dialog in which you can search for and enrol people. You can unenrol manually enrolled participants using the trash can icon on the right-hand side of the respective entry.


What should I do if enrolments are missing?

If automatic enrolments are missing, it first depends on the type of automatic enrolment involved. Automatic enrolments via WueStudy only enrol participants who are approved for the respective assigned event number and group in WueStudy; synchronisation takes place three times a day. For automatic enrolment via study programme and/or organisational unit assignment, the lists are matched with the central directories once a day. Otherwise, enrolments can only be done manually or via self-enrolment: self-enrolment is carried out by the person themselves, whereas you can carry out a manual enrolment immediately once the target person already has an account on WueCampus. For students, accounts are created at each enrolment cycle; university staff must first log in once so that their account is transferred from the directory service.


What should I do about duplicate enrolments?

Duplicate enrolments are generally not a problem and can remain in the system as they are. However, if a participant wants to unenrol themselves from the course, an additional manual enrolment will block the unenrolment process. In such a case, both enrolments must be removed for the participant to be completely unenrolled from the course. Otherwise, duplicate enrolments do not cause any issues if they occur.


Changing a role (participant, tutor, etc.)

You can also change a role in the participant list. To do so, click the pencil icon next to "Role" in the relevant participant's row. A combo box with a tagged selection appears. Click in the search field and select a role. All selected roles are shown above the text field, where you can also remove any unwanted roles. Save your selection using the disk icon. Caution: if you remove your own Dozent rights and save, you will not be able to get them back without external help. In such a case, please write to us and include the affected course in your email.


Using the announcements forum correctly

The announcements forum is a special forum with a few particular settings that you cannot set up in a regular forum. On one hand, all participants are compulsorily enrolled in this forum and receive notifications via the WueCampus messaging system. On the other hand, only Dozents and WueCampus-Kursbetreuer can post in this forum, and these posts cannot be replied to. It is not possible to remove the announcements forum from the course - it can only be hidden. Dozents and WueCampus-Kursbetreuer also receive messages through this mandatory notification tool. For this reason, it can make sense in certain cases to hold communication in your course via other channels. Emails from the announcements forum always include a link back to the course.


Setting up additional forums for questions or discussion

You can create additional forums via "Add activity". These forums can be used in various ways: they can be set to operate per group or course-wide, the subscription type can be set to optional, automatic, or disabled, and reply options range from unrestricted discussions to strictly limited replies. Please note that users can unsubscribe from the forum at any time and will then no longer receive messages through the system.


Sending messages to participants

You can also send messages directly to a selection of participants. Start this from the participant list: select the desired users via the checkboxes in the list, scroll all the way down until you see the dropdown "With selected users … Choose …", and click it. Clicking "Send a message" opens a dialog where you can enter your message. Note that messages sent via this function do not include a reference to the course - they are treated as personal messages from you.


Controlling notifications

You can also control notifications on a per-activity basis. To do this, set the "Notifications" option in the respective activity's settings. If you don't see this setting, the activity in question does not send any special notifications of its own. In every activity, you can additionally enable the option "Send notifications about content changes", which notifies participants when the content of that activity changes. For assignments and other submissions, you can also set up special notifications to the course team that are sent in the event of deadline violations or new submissions.


Creating and configuring assignments

You create an assignment via "Add activity" and selecting "Assignment". In the settings, under Availability, you can define when a submission becomes possible, when it is due, and whether a cut-off (late submission) period is allowed. Under Submission types, you determine whether files, online text, or both are permitted, as well as the maximum number and size of uploaded files. Under Grading, you set the grading method (points, scale) and, if needed, a grading guide. Additionally, under Submission settings, you can specify whether students must mark their submission as final after uploading, or whether multiple submission attempts are allowed. Once saved, the assignment appears in the course and students automatically see the configured deadlines.


File submission vs. online text

With file submission, students upload one or more documents (e.g. PDF, Word), which you can then download or annotate directly in the browser. This is suitable for extensive work, scans, or files with special formatting. With online text, students write their answer directly into a text field within WueCampus. This makes reviewing easier, since no download is needed, and enables simple version tracking as well as inline comments. Both submission types can also be enabled at the same time in the assignment settings under "Submission types" if you want to allow both.


Deadlines, cut-off dates, and late submissions

In the assignment settings under "Availability", you set the due date by which students can submit regularly. You can additionally define a cut-off date, up to which submissions are still possible but marked as late. After the cut-off date has passed, no further submission is possible unless an individual extension has been granted. Via the "three-dots menu" next to the column "Status" in the section "Submissions" in your Assignment Activity, you can grant individual students an extended deadline without changing the deadline for everyone else. Late submissions are highlighted in colour in the grading overview so they are easy to spot.


Is there a digital attendance tracking feature?

Yes, the "Attendance" activity allows you to set up digital attendance tracking in your course. There you can create sessions and define statuses such as "Present", "Excused", or "Absent" for each session, each of which can be assigned point values. Depending on the configuration, students can register themselves via a code or QR code, or attendance can be recorded manually by you. The activity also provides an overview from which attendance rates per person can be exported.


Where do I give grades?

You give grades directly within the respective activity - for example, for an assignment, via the "View/grade all submissions" button or through the assignment's grading overview. There you see a list of all submissions and can enter a grade and feedback for each person. Alternatively, grades can also be entered centrally via the course's "Gradebook", which lists all gradable activities in the course in table form. Once saved, grades are automatically transferred to the course's gradebook.


Giving feedback on assignments

Within an assignment's grading view, you can leave individual text feedback for each submission under "Feedback comments". Additionally, the "Feedback files" option can be enabled in the assignment settings, allowing you to upload annotated documents or audio files as feedback. For file submissions in PDF format, an annotation function is also available, letting you mark and comment directly within the document. Students are automatically notified about new feedback, provided this option is enabled in the activity.


Viewing the grading overview

The "Grades" menu item in the course takes you to the central gradebook. This shows all graded activities in table form, along with the results per participant. Using the column headers, individual grade items can be sorted, grouped, or combined into categories, for which totals or averages can in turn be calculated. The overview can also be exported as an Excel or CSV file, for example for further processing or archiving.


What can students see - and what not?

By default, students see only their own results in their personal grade overview, not those of other participants. Whether an individual grade is visible depends on whether you have already published it - as long as a grade has not been saved or released, it remains invisible to students. Using the "Hide category" setting or the visibility icons in the gradebook, you can also specifically hide individual grade items or entire categories, for example if a calculation is not yet finished.


Creating and managing groups

You create groups via "Participants" > "Groups". There you can manually create individual groups and assign participants via a selection list, or use the "Auto-create groups" function to generate groups automatically based on certain criteria (e.g. group size or number of groups). In addition, you can create groupings that combine several groups. Groups and groupings make it possible to show activities or materials only to specific people. Group assignments can also be imported via a CSV file.


Using groups in assignments and forums

In many activities, such as assignments or forums, group mode can be enabled under "settings". In "Separate groups" mode, participants only see the posts or submissions of their own group, whereas in "Visible groups" mode, the content of other groups can also be viewed, without being able to contribute to them. For assignments, the "Group submission" option can additionally be enabled, so that a submission automatically applies to all members of a group and only one grade per group is needed.


Common mistakes with groups

A common mistake is not assigning participants to any group even though the "Separate groups" mode is active in an activity - these people then usually see no content, or the wrong content. It is also often overlooked that group mode can be overridden both course-wide and per individual activity, which can lead to different behaviour in different activities. For group submissions, it should also be noted that, by default, every group member can edit the submission unless a single responsible member is specified in the settings. Changes to group assignments while a group assignment is already in progress can also disrupt submissions that have already been started. Using groupings and groups in parallel within a very compact course amplifies all of the issues mentioned, since two levels of grouping with potentially different visibility settings then exist. It is therefore advisable to use groups and groupings sparingly and to establish a concept for their use beforehand.


Hiding a course from students

In the course settings, under "Course visibility", you can set the entire course to "Hide". The course remains visible to you as a Dozent and to WueCampus-Kursbetreuer, but for students it no longer appears in the course overview and can no longer be accessed. Alternatively, individual sections or activities can also be hidden specifically via the eye icon, if only parts of the course should become inaccessible.


Preparing content for upcoming semesters

To prepare content for the upcoming semester, it's recommended to set up a new course via a course request. This also allows you to specify an existing course as a template, which is then duplicated into your new course. If you request a semester-independent course, you can carry out the duplication or transfer of content yourself at any time, or specify your wish to duplicate a particular other course directly in the request text - we will then take care of the transfer for you. Existing materials can be exported via the backup function and then restored in the new course, or quickly transferred by selecting them via the "Bulk actions" block and choosing "Duplicate to another course". Be sure to exclude personal data such as participant lists, forum posts, or submissions from the backup, as these should not be carried over into a new course.


Archiving a course or using it as a template

Via "More" > "Reuse this course" > "Backup", you can create a complete backup of your course, which can then serve as a template for future courses or be stored for archiving purposes. When creating the backup, you can select which components (e.g. user data, gradings, forum posts) should be included. For a pure template without personal data, user data should be explicitly excluded. You can download the resulting backup file to restore it again later via "Restore". Semester-based courses generally remain in the system for 4 years; non-semester-based courses remain as long as they are actively used - meaning that as long as such a course has Dozents or WueCampus-Kursbetreuer and the last access was no more than 2 years ago, it normally remains in the system. It can then also be used as a template and does not need to be additionally archived.


Retaining content in a legally compliant way

The legally compliant retention of exam results and gradings is governed by your faculty's respective retention periods or examination regulations, which must be observed independently of WueCampus. It is recommended to export relevant submissions, gradings, and grade overviews locally in good time before any possible deletion or archiving of the course, and to store them in accordance with the applicable retention periods and data protection requirements. Please observe the requirements for handling personal data under the GDPR. WueCampus is not the primary storage location for exam data and results; therefore, also make sure this data is transferred to WueStudy.


Reusing content for follow-up courses

For reuse in follow-up courses, it's best to use the "Reuse this course" function, or import course content via "More" > "Reuse this course" > "Import". This allows you to selectively transfer activities, materials, and course settings from an existing course into a new course, without carrying over personal data such as submissions or participant lists. This saves you having to recreate recurring content each time the semester changes.


When should I contact WueCampus Support?

Contact WueCampus Support for questions and problems directly related to using WueCampus as a learning platform, such as technical errors within courses, problems with enrolments, activities, gradings, or general functional questions. WueCampus Support is also the right point of contact for requests regarding course applications, role changes, or special configurations.


When is the Computing Center's IT Support responsible?

The Computing Center's IT Support is responsible for general access issues that are not specific to WueCampus, such as problems with the central user account, password, two-factor authentication, or access to other central university services. It is also the right point of contact for basic network or infrastructure problems, as well as questions about requesting accounts.


What information does support need?

So that your request can be processed as quickly as possible, please ideally provide the following information: the full link to the affected course or activity, a precise description of the problem including the steps taken, the browser used, and the approximate date and time the problem occurred. A screenshot of the error message also makes troubleshooting considerably easier.


Known issues at the start of the semester

At the start of the semester, increased loading times occasionally occur due to high numbers of accesses. Please be patient in this case, and consider postponing the release of enrolment keys to a different point during your lecture. Typically, the first 15 minutes of every even hour are the busiest times.
Another known issue is short delays in automatic enrolments via WueStudy, since this synchronisation only takes place at fixed times each day. In this case, please check whether the affected students are actually assigned to the correct group in WueStudy and marked as "admitted" - these participants will then be added to your course at the next synchronisation.


Where can I find current information about maintenance work?

You can usually find current information on planned maintenance work and possible restrictions announced on the WueCampus homepage, or in a corresponding maintenance banner within the platform. For larger, longer-planned maintenance windows, additional advance notice is given in good time via the university's central communication channels.
