WueCampus Help for Students

This page provides a quick overview of the most important questions about using WueCampus. Answers are intentionally short and can be expanded via detailed guides if needed.

Ein Einführungsvideo für WueCampus (Englisch)
An introductory video for WueCampus

This introductory video will help you get started with WueCampus. It provides a step-by-step guide on how to log in, join courses, find content, submit assignments, set up notifications, and view your grades. In addition, the following FAQ section answers the most common questions about working with WueCampus.

How do I log in to WueCampus?

Log in using your university account via the WueCampus homepage. Depending on your affiliation, select the appropriate option in the login screen:
  • Students at the University of Würzburg should select WueLogin.
  • Students at the University of Music Würzburg should select HfM Login.
  • Guest or function accounts should log in via the Access for external- or function accounts button and then use the login form displayed above. External accounts are not university accounts from other institutions, but rather specially created guest accounts on WueCampus.
Important note regarding vhb courses: Access to the Virtual University of Bavaria (vhb) is available exclusively via the vhb portal. Direct login to WueCampus with a vhb account is not possible.

Use the same login credentials for this login that you use for other university services.

I forgot my password—what should I do?

You can reset your password via the University of Würzburg's user portal. If you encounter any issues with the user portal or your student account, please contact the IT support team at the University of Würzburg's Computer Center.
Students at the University of Music Würzburg: User accounts at the University of Music Würzburg are not managed through WueCampus or the University of Würzburg system. Therefore, it only uses the University of Music Würzburg's services to log in to WueCampus.
If you have any problems with your account, please contact the IT department at the University of Music Würzburg directly.

Which browsers are recommended?

WueCampus works best with the latest versions of Chrome, Firefox, Safari oder Edge. Avoid using outdated browsers and keep your software up to date to ensure a secure and stable experience and protect yourself from cyberattacks.

Where can I find my courses?

After logging in, your courses will be displayed either on the dashboard homepage or in the top navigation bar under "My Courses".

I do not see a course - what could be the reason?
  • The course hasn't been made available yet
  • You are not yet enrolled in the course
  • You haven't been admitted to the seminar or lecture in WueStudy yet
  • The course starts at a later date
If you're unsure, please contact the course instructor.

How do I enroll myself in a course?

Open the course using the course search and click on "Enrol me". If an enrollment key is required, it is usually announced by the course instructor during the first session.

Where can I find lecture materials?

The lecture materials are located in the respective WueCampus course within the topic or weekly sections. If individual slides or materials are not visible, this may be due to the following reasons:
  • The files have not yet been uploaded
  • The materials have not yet been made available to students

Can I download files?

Yes. Click on the desired file. Depending on the file type, it will either:
  • open directly in the browser or
  • download automatically

A file won't open—what should I do?

Please proceed step by step:
  • Check whether the appropriate program is installed on your device
  • Try opening the file with a different browser
  • Download the file again from WueCampus
If the problem persists, please contact:
  • the IT Support team at the Computer Center or
  • the course instructor, if the problem with the material is course-related

Where can I find the assignment instructions?

Open the relevant assignment in the WueCampus course. You'll find the assignment instructions above the submission fields and options. The assignment description may:
  • be posted directly as plaintext in WueCampus or
  • be provided as a PDF file for download within the assignment

How do I submit an assignment solution?
  1. Open the assignment in the course where the assignment instructions are posted
  2. Upload your file or paste text directly into the designated field
  3. Finally, confirm the submission by clicking the corresponding button

How do I know if my submission was successful?

After submission, the following will appear:
  • a confirmation message and
  • the submission status, for example, "Submitted"

Can I change my submission?

Subsequent changes are only possible if:
  • the course instructor allows changes and
  • the submission deadline has not yet passed

What happens if I miss the submission deadline?

As a rule, submissions are no longer possible after the deadline has passed. If you encounter problems or have special circumstances, please contact the course instructor as soon as possible.

How do I start a test?

Open the relevant test in the WueCampus course and click on "Attempt quiz". The test will then start directly in your browser.
Please note: Not all tests in WueCampus are graded or part of an exam. Many tests are intended for practice, self-assessment, or attendance purposes. In such cases, if you encounter technical issues, it is usually sufficient to:
  • restart the test and
  • send a brief message to the course administrator.

What should I do if I encounter technical problems during a test?

Please proceed as follows:
  • Immediately inform the course instructor
  • Stay calm and restart the browser once you receive confirmation from the instructor
Additionally:
  • In non-exam situations:
Take photos or screenshots as evidence of the problem.
  • In exam situations:
Photos or screenshots are not permitted. Instead, immediately inform the exam supervisor or the responsible instructor.
Important: Report technical problems during or immediately after the test, if possible.

Can instructors see how long it took me?

Yes. Test times, completion duration, and attempts are stored in WueCampus and are visible to instructors.

Where can I find my grades?

You can find your assessments and grades in the respective WueCampus course under the "Grades" menu item.

When will I see feedback on assignments?

As soon as the course instructor has released the feedback, it will appear directly in the respective assignment activity. Additionally, you can click on the corresponding submission in the grades overview to:
  • jump directly to the assignment and
  • view the feedback and comments

Can other students see my grades?

No. Your grades and assessments are visible only to you and the course instructors. Other students do not have access to your assessment results or grade overview.

How do I contact lecturers?
Course instructors are usually displayed as contact photos in the WueCampus course room, typically on the right side in the colored course header. Here’s how to do it:
  1. Click on the contact photo of the course instructor or tutor.
  2. The person's profile will open
  3. There you will find, among other things, the email address you can use to get in touch
In addition, the following communication channels are available in WueCampus:
  • Forums for general questions (depending on the course)
  • Private messages for personal or individual inquiries

When should I use a forum?

In the standard course, usually only the announcement forum is available. This is intended solely for information from the course instructors and is not meant for questions. If there is also a question or discussion forum, please note the following:
  • Ask questions there that are relevant to other students as well
  • This way, all participants benefit from the answers
You should continue to direct personal, individual, or sensitive questions directly to the course support team via direct message or email.

When should I contact WueCampus Support?

Questions about course content, program or schedule should generally be directed first to the course coordinator or instructor. These include, among other things:
  • Questions about the course schedule
  • Problems with admissions or enrollment
  • Questions about passwords or access rights
  • Organizational questions regarding general teaching operations
WueCampus Support is responsible for technical issues, such as:
  • Problems with the browser or the display of WueCampus
  • You can no longer log in to your WueCampus account
  • Courses from previous semesters are no longer visible but are urgently needed on a temporary basis
  • Error messages or technical malfunctions in WueCampus

How do I report a technical problem correctly?

To help us assist you quickly, please provide as much detail as possible:
  • A specific description of the problem or error message
  • A link to the page where the problem occurs
  • Screenshots of the error, if possible
This information greatly helps support reproduce the error and resolve it quickly.

Are there other places to contact if I have problems?

Yes, depending on the issue, there are other support teams you can contact:
  • IT Support at the Data Center
Responsible for general technical issues with the University of Würzburg’s IT services (e.g., Wi-Fi, email, accounts, software).
  • WueStudy Support
If you have technical issues related to WueStudy and the central student registry, the WueStudy support team can assist you.

How do I receive notifications?

In your profile, you can choose whether you want to receive notifications via WueCampus and/or by email.
Please note: Some courses send important information exclusively via WueCampus. You should therefore not disable notifications entirely and should check WueCampus regularly for new messages.

Where can I find the notification settings?

You can find the settings in:
  • User menu (top right of the navigation bar)
  • Preferences ->Notification preferences
In most cases, the default settings are sufficient.

How can I reduce the number of emails I receive?

If you want to receive fewer emails from WueCampus, you can enable email digests for forums:
Path to the setting:
  • User menu ->Preferences ->Forum preferences
There you can choose between:
  • a single email per forum post or
  • a daily email
For the daily digest, you can also choose between:
  • Full posts or
  • a daily email with subjects only

Is there a WueCampus app?

Yes. WueCampus can be accessed via the official Moodle app. The app is available for Android and iOS, though some features are limited.

How do I set up the Moodle app for WueCampus?
  1. Download the Moodle app from the respective app store
  2. Launch the app—you will be asked for a QR code from the Moodle platform
  3. You can find your personal QR code in WueCampus under:
    User menu ->Profile
  4. In the profile window, the "Mobile App" section with your personal QR code is located at the bottom right
After scanning, the app is connected to your WueCampus account.

WueCampus is very slow at the start of the semester—what can I do?
At the beginning of the semester in particular, WueCampus may experience very high traffic. During this period:
  • many students are enrolling in their courses simultaneously via self-enrollment
  • very high traffic spikes occur due to numerous concurrent server requests
We are aware of this issue and are actively working to mitigate these spikes as effectively as possible. Nevertheless, WueCampus may respond noticeably slower than usual during this time.
Recommendation:
If you don't have any urgent tasks to complete, try to log in at odd hours or well after classes have started, as WueCampus is often less busy at those times.

On regular days, WueCampus is very slow — what can I do?

If the problem occurs outside of typical peak hours, you can try the following steps:
  1. Reload the page
  2. Clear your browser cache
  3. Try a different browser or device
If the problem persists or if other students are experiencing it as well:
  • Contact support and
  • send a direct link to the affected course room or the page where the problem is occurring
Please include the following in your message:
  • whether only a specific page is affected or
  • whether WueCampus is completely unavailable or very slow

Who should I contact if I have technical problems?
  • Data Center IT Support
Responsible for central IT issues and infrastructure, e.g.:
    • User accounts
    • General university IT services
    • Network or system issues
  • WueCampus Support
    Responsible for platform-related issues, e.g.:
    • Display or loading issues in WueCampus
    • Course rooms, content, or features in WueCampus
You can find all our current contact information on our contact page.

WueCampus-Hilfe für Dozierende und Kursbetreuer

WueCampus Help for lecturers and course instructors

This page provides a quick overview of the most important questions about using WueCampus. Answers are intentionally short and can be expanded via detailed guides if needed.

What can people with the role Dozent and WueCampus-Kursbetreuer do?

The difference between the roles Dozent and WueCampus-Kursbetreuer is small. Both roles are administratively almost equal and have extensive editing rights within a course.
Key difference
A WueCampus-Kursbetreuer is not displayed as a visible contact person in the course. Dozent, on the other hand:
  • are shown in the course as a visible contact person
  • can therefore be contacted directly by other WueCampus users via their profile more easily
  • have a visible email address in the system
In summary: the roles are functionally equivalent but differ in public visibility as a contact person.

Where can I find training, guides, or introductions?

For all questions relating to WueCampus, the WueCampus Support team is a good first point of contact. You can find the contact details in the footer under Contact. If you would like to learn more on your own, the following resources are recommended:

Who should I contact for didactic vs. technical questions?

For technical problems or questions about the platform, please contact:
  • WueCampus Support (platform-related topics)
  • or the IT Support of the Computing Center (central IT services)
You can find the contact details in the footer under Contact.

For questions on course design, digital didactics, or teaching methods, the Center for Education and Teaching (ZBL) is responsible:

How do I request a new semester-based course?

A semester-based course is the standard case. If you would like to set up a course for the current semester:
  1. Open "Course request" in the top navigation and select "Course request: winter/summer term" for the relevant semester
  2. The course must already exist in WueStudy
  3. If you want to use automatic enrolment of participants from WueStudy, select the matching event (e.g. tutorial groups with registration)
  4. Enter the WueStudy event number ("Number" field)
  5. Follow the wizard to the end and submit the request
You can find further details on the course request here.

How do I request a new cross-semester course?

A non-semester-based course is an irregular course that is not tied to a semester or an entry in WueStudy.
  1. Select "Course request > Cross-semester"
  2. Fill in the required information
In the "Reasons for wanting this course" field, you can specify additional requests, for example:
  • meta enrolments
  • more complex course imports
  • special technical settings
Important note: Cross-semester courses generally may not be used as a substitute for regular courses. We insist on a request as a semester-based course if it corresponds to a regular course. If there are problems selecting a group or the request cannot find your event number, please contact WueCampus Support.

When will my course be activated?

Semester-based courses are created automatically and immediately after the course request is completed. Cross-semester courses are set up manually by WueCampus Support. Processing is carried out as promptly as possible.

How long does a course remain available?
Semester-based courses
  • remain actively available in the system for 4 years (8 semesters)
  • afterwards:
    • archived for about 2 further years
    • restoration possible only on request
    • earlier deletion possible in individual cases
Cross-semester courses
A course is marked for deletion if:
  • it has not been used for 2 years, or
  • there are no course participants with edit rights left
Deletion procedure:
  • course coordinators receive a notification by email
  • it is possible to object to the deletion (opt-out)
  • if an objection is raised, the course is kept for another 2 years
  • without an objection, the course is deleted; Courses without course coordinators are immediately deleted
Important note: No backups are kept for cross-semester courses deleted in this way.

Can I add multiple course coordinators?

Yes, you can add as many coordinators as you like. Here's how:
  1. Open your course
  2. Navigate to "Participants"
  3. Click "Enrol users"
  4. Search for the desired person and add them
You can assign a role directly (Dozent or WueCampus-Kursbetreuer) or change the role later in the participant list under "Roles".

Course visibility: when do students see the course?

Students see your course when:
  • the course visibility is set to "Show" in the settings
  • the current date falls between the course start and course end dates
If these conditions are met, the course appears:
  • in the course catalogue
  • in the course search
  • and (if enrolled) under "My courses"

When do I need the group mode?

Using groups makes sense if you work with large numbers of participants or want to offer content and activities specifically to certain subgroups.
Typical use cases:
  • Separate work areas for students
  • restricting:
    • forum posts
    • discussions
    • announcements
  • using different:
    • submission deadlines
    • gradings per group
    • access to materials
When using the "Separate groups" group mode, students can only see the content and posts of their own group. However, you can also use groups without "separate groups" for organising purposes, or to only restrict access to specific activities without hindering groupmembers to interact outside of their groups. With the "Group choice" activity, students can, for example, organise themselves into groups.
Note on use: Group mode offers many possibilities but also increases the complexity of course administration. Its use should therefore be well planned.

How can I test my course from a student's perspective?

You have two options. The quick option lets you get a first impression of your course. This is done via the role switch in your profile (top right). Important limitation: not all functions and permissions are displayed correctly this way. The recommended option for more complex courses is testing with a real participant account. If you don't have a colleague you can enrol as a participant, please contact WueCampus Support. We can provide you with a test account for this purpose.

How do I import content from an existing course?

There are three ways to transfer content from an existing course:
  1. Full copy as part of the course request
    • possible directly within the course request process
    • requirement:
      • you are registered as a Dozent in the source course, or
      • you provide the course coordinator's (username) in the request (this person will then also be enrolled as WueCampus-Kursbetreuer)
  2. Full copy into an existing course
    • Open the target course
    • Go to "More > Reuse this course > Import"
    • Select the desired source course and complete the wizard
Requirement: you must be registered as a Dozent in the source course
  3. Copying individual content ("mass actions")
    • Activate the "massactions" block in the source course
    • Select the desired elements
    • Click "Duplicate to another course"
This lets you transfer specific materials, activities, and sections to another course, without the usage of a specific wizard or handling complicated backup files.

Which content can be transferred?

In principle, all activities and materials available in WueCampus can be transferred. There is a limitation for content from other systems (e.g. imported courses): this may contain features based on plugins that are not installed. Such content will not be transferred.

What is not included when copying a course?

When a course is fully copied, all course content is transferred. Participant data, student submissions, and gradings are not included.

How do I add new sections (topics/weeks)?

You can add sections in edit mode:
  • between existing sections via the plus icon
  • or at the end of the page via "+ Add section"
Since version 5.1, you can also create subsections. To do so, click the plus icon within a section and select "Subsection".
Important: Empty a subsection before deleting it to avoid a known bug.

How do I add materials or activities?

Click the grey plus icon in edit mode. It appears either between existing activities (on mouse hover) or at the end of a section.
You can also upload materials via drag and drop. Simply drag the file into the desired section and release the mouse button. If you want to upload more than one file, you can proceed as follows:
  • Combine all files into one ZIP file
  • Drag the ZIP file into the course
You can then choose whether to insert the ZIP file as a file or have its contents unpacked automatically. The second option will then put all entries of the ZIP File as single Data Entries in your course room.

How do I change the order of sections and materials?

You can change the order via drag and drop. This works both in the course view and in the course index (left side menu).

How do I show or hide content?

You can control content and sections via the three-dot menu > Availability or on each Elements Settings in the Section: Availability :
  • Show on course page > visible and accessible
  • Hide on course page > not visible and not accessible
  • Available but not shown on course page > not visible, but reachable via a direct link
The last option is useful for hidden tests or activities linked from other elements.

How do I use advanced availability restrictions?

You can attach access conditions to content:
  • Open the activity settings
  • Go to the "Restrict access" section
Possible conditions include, for example: a password, a grade, groups, access rules, and so on. The display behaviour can be controlled via the eye icon. With the open eye, the element is visible but not usable when the restriction criterias are not reached; with the crossed-out eye, the element is also hidden if the conditions are not met.

Where do I change a course's title and description?

You can change all course-specific settings such as title, description, and much more in your course under "Settings". If you are using a single activity view, you will find the settings under "Course > Settings".

Can I change the short name or other greyed-out fields of my course?

Unfortunately, no, you cannot change these yourself. However, you can request a change from WueCampus Support. Changing a greyed-out field requires the administration to update related administrative data in the background. We're happy to do this for you - as a user, you cannot make these changes yourself.

How do I add or change a course image?

You can do this via the settings as well. In your course, go to "Settings > Course images" and upload a new image in the "Course image" field. If an image already exists that you want to remove, click on it. A pop-up opens with further settings for the image (including image rights, author, and name). In this pop-up, click the "Delete" button at the top. The "Course image" field is then empty and can accept a new image, which you upload the usual way (drag and drop or via the plus icon).

What is the difference between the course image and the course header image?

A course image on its own is displayed both inside and outside the course. If a course header image is used in addition, the following display rules apply:
  • Course image: displayed in all views outside the course, including:
    • My courses
    • Dashboard
    • Course catalogue
  • Course header image: used only as the header image within the course.

Which image formats and sizes are recommended?

We recommend the following dimensions:

Image typeAspect ratioOverall size (px)Focus area (px)
Combined course image6:11920 × 3201120 × 280
Exclusive course image7:31400 × 6001200 × 300
Course header imagevariable1920 × 6401120 × 560

On our website, course images are always laid out centred. This means the most important part of an image should be in the middle and extend outward from there.
Text or visual highlights near the edges may be cropped or not fully displayed due to layout adjustments, especially in the mobile view. The focus area given in the table, on the other hand, has the highest likelihood of remaining fully visible on all devices and screen sizes. The focus area is meant as an area within the overall sizes depicted in the table. If you resize the overall size, the focus area need to be scaled accordingly.
The dimensions given here serve as guidance and recommendations. They do not have to be strictly followed, but they can help achieve a consistent and appealing appearance. Please note that the suggested sizes and formats may not be optimal for every individual design and can be adjusted depending on your design concept.

The blue banner and highlight colours don't fit my course concept. Can I change these colours?

Yes, you can customise your course's colours. To do this, open the course settings and navigate to the "Wue_Union Theme Settings" section. There you can override both the primary colours and the overview colours of your course. It's important that the colours are given as hex values, for example in the form #AABBCC. If a colour value is not recognised correctly, the system automatically falls back to the default colour. If you're unsure, you can easily find a suitable colour value using an online colour picker such as htmlcolorcodes.com.

What information belongs in the course description?

In the course description, you can briefly explain your course to students or provide additional information. In many cases, however, this field remains empty, as relevant information is already stored in WueStudy and maintained centrally there.
The course description becomes especially important if you bundle several events into a single course. In this case, you should list the corresponding event numbers in the description. This keeps the course findable across different numbers.
Please note, however: entering the event numbers in the description does not create a technical link to WueStudy. If you need such a link, you must contact WueCampus Support and specify the courses to be linked. Please always provide all available information that helps us set this up (at minimum the link to the course and the event numbers and parallel groups to be linked).

Which enrolment methods are available?

WueCampus offers a total of 6 different enrolment methods. As a lecturer, you only have access to three of these methods; the rest are set up by the administration or through special course requests.
  • Manual enrolment: always active; covers participants you enrol manually via the participant list.
  • Self-enrolment: allows participants to enrol themselves in the course. In a new course, the default self-enrolment for the "Student" role is already set up. It has no enrolment key and is disabled by default. Use the pencil icon to set an enrolment key, and the eye icon to activate the enrolment.
Via "Add method", you can also add further self-enrolments. Through the settings (pencil icon), you can also define start times, duration, and texts here. You can also limit the number of enrolments and change the role assigned via self-enrolment. This allows you to set up multiple self-enrolments for different roles with different passwords.
  • vhb Shibboleth enrolment: if you want to set up a vhb course for use with the vhb Classic portal, you can choose this enrolment method. You will need the course's LV number, which must match in the first three number blocks. All other settings should already correctly reflect the default user groups and should not be changed.
The other three enrolment methods are:
  • Meta-enrolment
  • Enrolment via WueStudy
  • Enrolment via study metadata
These can only be set up or changed by the WueCampus administration and come with significant restrictions. If you have a concept for linking multiple courses together, linking more than one WueStudy event, or automatically enrolling students based on their study status (e.g. current semester number or degree programme), please contact WueCampus Administration to discuss suggestions and implementation.

How do I check who is enrolled?

You can do this in your course via the participant list. There you will see everyone currently enrolled in your course. On the right-hand side of each entry, you'll find the action icons. The i-icon also shows further details about the active enrolments.

How do I manually enrol or unenrol participants?

This is also done via the participant list in your course. There is a "Enrol users" button that opens a dialog in which you can search for and enrol people. You can unenrol manually enrolled participants using the trash can icon on the right-hand side of the respective entry.

What should I do if enrolments are missing?

If automatic enrolments are missing, it first depends on the type of automatic enrolment involved. Automatic enrolments via WueStudy only enrol participants who are approved for the respective assigned event number and group in WueStudy; synchronisation takes place three times a day. For automatic enrolment via study programme and/or organisational unit assignment, the lists are matched with the central directories once a day. Otherwise, enrolments can only be done manually or via self-enrolment: self-enrolment is carried out by the person themselves, whereas you can carry out a manual enrolment immediately once the target person already has an account on WueCampus. For students, accounts are created at each enrolment cycle; university staff must first log in once so that their account is transferred from the directory service.

What should I do about duplicate enrolments?

Duplicate enrolments are generally not a problem and can remain in the system as they are. However, if a participant wants to unenrol themselves from the course, an additional manual enrolment will block the unenrolment process. In such a case, both enrolments must be removed for the participant to be completely unenrolled from the course. Otherwise, duplicate enrolments do not cause any issues if they occur.

Changing a role (participant, tutor, etc.)

You can also change a role in the participant list. To do so, click the pencil icon next to "Role" in the relevant participant's row. A combo box with a tagged selection appears. Click in the search field and select a role. All selected roles are shown above the text field, where you can also remove any unwanted roles. Save your selection using the disk icon. Caution: if you remove your own Dozent rights and save, you will not be able to get them back without external help. In such a case, please write to us and include the affected course in your email.

Using the announcements forum correctly

The announcements forum is a special forum with a few particular settings that you cannot set up in a regular forum. On one hand, all participants are compulsorily enrolled in this forum and receive notifications via the WueCampus messaging system. On the other hand, only Dozents and WueCampus-Kursbetreuer can post in this forum, and these posts cannot be replied to. It is not possible to remove the announcements forum from the course - it can only be hidden. Dozents and WueCampus-Kursbetreuer also receive messages through this mandatory notification tool. For this reason, it can make sense in certain cases to hold communication in your course via other channels. Emails from the announcements forum always include a link back to the course.

Setting up additional forums for questions or discussion

You can create additional forums via "Add activity". These forums can be used in various ways: they can be set to operate per group or course-wide, the subscription type can be set to optional, automatic, or disabled, and reply options range from unrestricted discussions to strictly limited replies. Please note that users can unsubscribe from the forum at any time and will then no longer receive messages through the system.

Sending messages to participants

You can also send messages directly to a selection of participants. Start this from the participant list: select the desired users via the checkboxes in the list, scroll all the way down until you see the dropdown "With selected users … Choose …", and click it. Clicking "Send a message" opens a dialog where you can enter your message. Note that messages sent via this function do not include a reference to the course - they are treated as personal messages from you.

Controlling notifications

You can also control notifications on a per-activity basis. To do this, set the "Notifications" option in the respective activity's settings. If you don't see this setting, the activity in question does not send any special notifications of its own. In every activity, you can additionally enable the option "Send notifications about content changes", which notifies participants when the content of that activity changes. For assignments and other submissions, you can also set up special notifications to the course team that are sent in the event of deadline violations or new submissions.

Creating and configuring assignments

You create an assignment via "Add activity" and selecting "Assignment". In the settings, under Availability, you can define when a submission becomes possible, when it is due, and whether a cut-off (late submission) period is allowed. Under Submission types, you determine whether files, online text, or both are permitted, as well as the maximum number and size of uploaded files. Under Grading, you set the grading method (points, scale) and, if needed, a grading guide. Additionally, under Submission settings, you can specify whether students must mark their submission as final after uploading, or whether multiple submission attempts are allowed. Once saved, the assignment appears in the course and students automatically see the configured deadlines.

File submission vs. online text

With file submission, students upload one or more documents (e.g. PDF, Word), which you can then download or annotate directly in the browser. This is suitable for extensive work, scans, or files with special formatting. With online text, students write their answer directly into a text field within WueCampus. This makes reviewing easier, since no download is needed, and enables simple version tracking as well as inline comments. Both submission types can also be enabled at the same time in the assignment settings under "Submission types" if you want to allow both.

Deadlines, cut-off dates, and late submissions

In the assignment settings under "Availability", you set the due date by which students can submit regularly. You can additionally define a cut-off date, up to which submissions are still possible but marked as late. After the cut-off date has passed, no further submission is possible unless an individual extension has been granted. Via the "three-dots menu" next to the column "Status" in the section "Submissions" in your Assignment Activity, you can grant individual students an extended deadline without changing the deadline for everyone else. Late submissions are highlighted in colour in the grading overview so they are easy to spot.

Is there a digital attendance tracking feature?

Yes, the "Attendance" activity allows you to set up digital attendance tracking in your course. There you can create sessions and define statuses such as "Present", "Excused", or "Absent" for each session, each of which can be assigned point values. Depending on the configuration, students can register themselves via a code or QR code, or attendance can be recorded manually by you. The activity also provides an overview from which attendance rates per person can be exported.

Where do I give grades?

You give grades directly within the respective activity - for example, for an assignment, via the "View/grade all submissions" button or through the assignment's grading overview. There you see a list of all submissions and can enter a grade and feedback for each person. Alternatively, grades can also be entered centrally via the course's "Gradebook", which lists all gradable activities in the course in table form. Once saved, grades are automatically transferred to the course's gradebook.

Giving feedback on assignments

Within an assignment's grading view, you can leave individual text feedback for each submission under "Feedback comments". Additionally, the "Feedback files" option can be enabled in the assignment settings, allowing you to upload annotated documents or audio files as feedback. For file submissions in PDF format, an annotation function is also available, letting you mark and comment directly within the document. Students are automatically notified about new feedback, provided this option is enabled in the activity.

Viewing the grading overview

The "Grades" menu item in the course takes you to the central gradebook. This shows all graded activities in table form, along with the results per participant. Using the column headers, individual grade items can be sorted, grouped, or combined into categories, for which totals or averages can in turn be calculated. The overview can also be exported as an Excel or CSV file, for example for further processing or archiving.

What can students see - and what not?

By default, students see only their own results in their personal grade overview, not those of other participants. Whether an individual grade is visible depends on whether you have already published it - as long as a grade has not been saved or released, it remains invisible to students. Using the "Hide category" setting or the visibility icons in the gradebook, you can also specifically hide individual grade items or entire categories, for example if a calculation is not yet finished.

Creating and managing groups

You create groups via "Participants" > "Groups". There you can manually create individual groups and assign participants via a selection list, or use the "Auto-create groups" function to generate groups automatically based on certain criteria (e.g. group size or number of groups). In addition, you can create groupings that combine several groups. Groups and groupings make it possible to show activities or materials only to specific people. Group assignments can also be imported via a CSV file.

Using groups in assignments and forums

In many activities, such as assignments or forums, group mode can be enabled under "settings". In "Separate groups" mode, participants only see the posts or submissions of their own group, whereas in "Visible groups" mode, the content of other groups can also be viewed, without being able to contribute to them. For assignments, the "Group submission" option can additionally be enabled, so that a submission automatically applies to all members of a group and only one grade per group is needed.

Common mistakes with groups

A common mistake is not assigning participants to any group even though the "Separate groups" mode is active in an activity - these people then usually see no content, or the wrong content. It is also often overlooked that group mode can be overridden both course-wide and per individual activity, which can lead to different behaviour in different activities. For group submissions, it should also be noted that, by default, every group member can edit the submission unless a single responsible member is specified in the settings. Changes to group assignments while a group assignment is already in progress can also disrupt submissions that have already been started. Using groupings and groups in parallel within a very compact course amplifies all of the issues mentioned, since two levels of grouping with potentially different visibility settings then exist. It is therefore advisable to use groups and groupings sparingly and to establish a concept for their use beforehand.

Hiding a course from students

In the course settings, under "Course visibility", you can set the entire course to "Hide". The course remains visible to you as a Dozent and to WueCampus-Kursbetreuer, but for students it no longer appears in the course overview and can no longer be accessed. Alternatively, individual sections or activities can also be hidden specifically via the eye icon, if only parts of the course should become inaccessible.

Preparing content for upcoming semesters

To prepare content for the upcoming semester, it's recommended to set up a new course via a course request. This also allows you to specify an existing course as a template, which is then duplicated into your new course. If you request a semester-independent course, you can carry out the duplication or transfer of content yourself at any time, or specify your wish to duplicate a particular other course directly in the request text - we will then take care of the transfer for you. Existing materials can be exported via the backup function and then restored in the new course, or quickly transferred by selecting them via the "Bulk actions" block and choosing "Duplicate to another course". Be sure to exclude personal data such as participant lists, forum posts, or submissions from the backup, as these should not be carried over into a new course.

Archiving a course or using it as a template

Via "More" > "Reuse this course" > "Backup", you can create a complete backup of your course, which can then serve as a template for future courses or be stored for archiving purposes. When creating the backup, you can select which components (e.g. user data, gradings, forum posts) should be included. For a pure template without personal data, user data should be explicitly excluded. You can download the resulting backup file to restore it again later via "Restore". Semester-based courses generally remain in the system for 4 years; non-semester-based courses remain as long as they are actively used - meaning that as long as such a course has Dozents or WueCampus-Kursbetreuer and the last access was no more than 2 years ago, it normally remains in the system. It can then also be used as a template and does not need to be additionally archived.

Retaining content in a legally compliant way

The legally compliant retention of exam results and gradings is governed by your faculty's respective retention periods or examination regulations, which must be observed independently of WueCampus. It is recommended to export relevant submissions, gradings, and grade overviews locally in good time before any possible deletion or archiving of the course, and to store them in accordance with the applicable retention periods and data protection requirements. Please observe the requirements for handling personal data under the GDPR. WueCampus is not the primary storage location for exam data and results; therefore, also make sure this data is transferred to WueStudy.

Reusing content for follow-up courses

For reuse in follow-up courses, it's best to use the "Reuse this course" function, or import course content via "More" > "Reuse this course" > "Import". This allows you to selectively transfer activities, materials, and course settings from an existing course into a new course, without carrying over personal data such as submissions or participant lists. This saves you having to recreate recurring content each time the semester changes.

When should I contact WueCampus Support?

Contact WueCampus Support for questions and problems directly related to using WueCampus as a learning platform, such as technical errors within courses, problems with enrolments, activities, gradings, or general functional questions. WueCampus Support is also the right point of contact for requests regarding course applications, role changes, or special configurations.

When is the Computing Center's IT Support responsible?

The Computing Center's IT Support is responsible for general access issues that are not specific to WueCampus, such as problems with the central user account, password, two-factor authentication, or access to other central university services. It is also the right point of contact for basic network or infrastructure problems, as well as questions about requesting accounts.

What information does support need?

So that your request can be processed as quickly as possible, please ideally provide the following information: the full link to the affected course or activity, a precise description of the problem including the steps taken, the browser used, and the approximate date and time the problem occurred. A screenshot of the error message also makes troubleshooting considerably easier.

Known issues at the start of the semester

At the start of the semester, increased loading times occasionally occur due to high numbers of accesses. Please be patient in this case, and consider postponing the release of enrolment keys to a different point during your lecture. Typically, the first 15 minutes of every even hour are the busiest times.
Another known issue is short delays in automatic enrolments via WueStudy, since this synchronisation only takes place at fixed times each day. In this case, please check whether the affected students are actually assigned to the correct group in WueStudy and marked as "admitted" - these participants will then be added to your course at the next synchronisation.

Where can I find current information about maintenance work?

You can usually find current information on planned maintenance work and possible restrictions announced on the WueCampus homepage, or in a corresponding maintenance banner within the platform. For larger, longer-planned maintenance windows, additional advance notice is given in good time via the university's central communication channels.

These further topics are intended to support you even more in getting started with WueCampus and in using Moodle. Here, topics are picked up again and explained in detail.

Externe Anleitungen
External Tutorials

Since WueCampus is based on Moodle and we try to adhere to the standard of this platform as far as possible, guides from external sources can be used in most cases. The Moodle Docs cover everything that is available in the Moodle core. The knowledge bases of other universities and platforms also cover plugins that are installed on our system. Finally, the Moodle Academy is very extensive and serves as a Moodle for Moodle. It offers many self-paced courses for a wide range of roles and areas of application with Moodle.
We cannot list all possible guides on the web here. You will therefore always find more good guides if you, for example, search the web for "Moodle ", ask one of the numerous AI assistants (offered by the Rechenzentrum) about Moodle in context, or search for Moodle on video platforms.

Lehrvideos auf Lecture hochladen und auf WueCampus nutzen

Upload teaching videos to Lecture and use them on WueCampus

Our video server Lecture is the ideal place for your videos. In addition to better video streaming performance and statistics on video views, Lecture offers numerous tools for cutting, subtitling, and optimizing videos after upload. Moreover, unlike WueCampus, there is no strict limit on file uploads. You can find more information about Lecture here: Videostreaming - Rechenzentrum - Uni Würzburg.

Once you have uploaded a video to Lecture and it has been processed for playback, we will briefly show you here how to add it to a course.

Eine Videoseite in WueCampus erstellen
Creating a video page in WueCampus

A video page is useful if you want the focus to be entirely on the video. To create one, simply add a Text page activity, give it a meaningful title, and enter the shortcode as the only content of the page. You do not need to enter it in source code mode; it is simply pasted into the text field of your editor. You can get the shortcode for WueCampus in your video overview via the Share button and then the WueCampus tab. When you save, WueCampus recognizes that your text page is meant to be a video page, formats the video in a full-screen view, and displays a different icon for this special page in the course view.

Ein Lecture-Video in Fließtext oder andere Elemente einbetten
Embedding a Lecture video in body text or other elements

Similar to the video page, a video can also be useful in the context of your teaching materials. For this, you also only need the shortcode, which you add to your text at the position where you want the video to appear. You can get the shortcode in your video overview on Lecture via the Share button below the video. In the WueCampus tab, you can use the general shortcode or adjust the size to the exact pixel. Some of the most commonly used sizes are already predefined and can be selected from a dropdown. However, you can also change the height and width in the shortcode to suit your needs. In the editor, only the code is displayed at this position, but in the normal view the video is loaded and rendered correctly.

Automatische Vorlesungsaufzeichnungen – Muss ich hier noch etwas tun?
Automatic lecture recordings – Do I still need to do anything?

No, if you have booked a lecture recording, you do not need to do anything further on WueCampus. Everything is set up for you automatically in the correct course rooms. Lecture recordings are always created as a video page. If you would also like to use your lecture recording in a different context, you can proceed as described above under "Embedding a Lecture video in body text or other elements".

Lecture-Videos und H5P zusammen nutzen
Using Lecture videos and H5P together

Unfortunately, this is quite demanding, as you have to look at the source code of the page. There is no convenient way to embed videos via shortcodes. Instead, proceed as follows:
  1. Open your video on Lecture in full view and play it once.
  2. After it has started playing, you can pause the video.
  3. Open your browser's developer console (default key: F12 or Ctrl + Shift + I, or Cmd + Opt + I on macOS) and click the element picker in the top left corner.
  4. Use it to click once on your video.
  5. The developer console should now have jumped to the relevant place in the code. Look for a line that looks roughly like this:
    <source src="https://video.uni-wuerzburg.de/data-in-path/vod/upload_042a128699d730f.mp4" type="video/mp4">
You may need to expand a few sub-elements to find it.
  6. What matters is the URL after src=. This is the actual link to your video file on the Lecture server.
  7. Copy this link and paste it into H5P where you enter video links.
  8. H5P should then recognize the link as a video and embed it correctly.

Der Kursantrag: So richten Sie Kurse mit und ohne WueStudy-Verknüpfung ein

The course request: How to set up courses with and without a WueStudy link

If you log in with a valid JMU staff account, you not only gain access to WueCampus but also to a few special functions. One of them is requesting courses. You can find it in the navigation bar under the entry Course request.

By the end of this guide, you will be able to create and request all courses from WueStudy as well as cross-semester course rooms. If you do make a mistake or run into problems with your course, please feel free to contact us. We will help you get the course room working correctly again.

Semestrierte Kurse aus WueStudy anlegen – Vorbereitung
Creating semester courses from WueStudy – Preparation

Before requesting a course from WueStudy, please make sure that your WueStudy event has been entered correctly. The data of an event is only transmitted to us as part of the daily data exchange with the central administration if:
  • the event has been created in WueStudy for the corresponding semester,
  • the event is displayed in the course catalog, and
  • the event is correctly assigned to the relevant modules.
Once these requirements are met, the event data is transmitted to us and you can select the event in the course request. For this, you need the event number (VNr.) from WueStudy. You can find it, among other places, here:

You can find more information on the procedure in WueStudy on the WueStudy help page. If you need further support using WueStudy, please contact the WueStudy support.

Semestrierte Kurse aus WueStudy anlegen – Der Kursantrag
Creating semester courses from WueStudy – The course request

First, select the appropriate semester in the navigation bar. In the next window, enter the event number from your WueStudy event.

In the next view, you can check at the top whether the correct event name is displayed.

Then specify the following details:

  • Lecturer (in the image: 1): If you are requesting the course for yourself, just check that your user ID is entered correctly. Otherwise, enter the lecturer with their JMU ID.
  • WueCampus course instructor (in the image: 2): This is an optional second course instructor. If you want to reuse course templates from previous semesters, you can enter the main lecturer of the source courses as the lecturer and yourself as the course instructor. This way, you can continue editing the course room after the request. Regardless of these two people, you can manually enroll as many additional people as lecturers and course instructors as you like in the finished course room.
  • Category (in the image: 3): Here you assign your course to the WueCampus category tree. The suggestions are based on the associated modules and lecture references in WueStudy.

Click Next to proceed to the most important page of the course request.

  • Short name (in the image: 1): The semester abbreviation is appended automatically.
  • Enrollment key (in the image: 2): If you set an enrollment key here, participants will not be transferred automatically from WueStudy. Only use this option if you deliberately want to disable automatic enrollment. You must then give the key to your participants at the start of the course. If you also want to offer self-enrollment in addition to the WueStudy enrollment, you can set it up later in the finished course room. Leave this field empty for that.
  • Import course content (in the image: 3): Here you can select an old course room of the lecturer. The import is optional and can also be started later in the finished course room.
  • Sub-groups (in the image: 4): This is the most important part of the course request and is described in the next section.

Semestrierte Kurse aus WueStudy anlegen – Der Kursantrag und Parallelgruppen
Creating semester courses from WueStudy – The course request and parallel groups

Parallel groups are the most common source of errors when setting up semester courses. Don't worry: if you notice that something went wrong, just contact us. We will correct the settings afterwards.

In WueStudy, parallel groups are the individual groups within an event. They can look like this, for example:

Depending on the event, parallel groups are either used to divide participants into exercise groups or represent actual groups with different lecturers. There are two options for creating the course room:

  • One course room for all parallel groups: Do not select any parallel group here and complete the course request. Creating an overall course completely "uses up" the event, so it is no longer available for further course requests.
  • One course room for individual groups: Select all the groups you want and enter the lecturer's name or a different title. This action does not use up the event, so further courses can still be requested under this number.

At the end, a link to your course room is transferred back to WueStudy. This link is called either "WueCampus course room" or "WueCampus course room (Group X – "Your entry")". You have now successfully requested a semester course room and can continue editing your course elements.

Kursräume unabhängig von der Semestrierung beantragen
Requesting course rooms independent of the semester structure

Course rooms can also be created in WueCampus independently of events from WueStudy, for example for a template course, a course room for distributing information, staff training, or self-study courses. These courses do not need to be related to events in WueStudy.

As a rule, we reject requests for WueStudy events submitted through this form. Please use the course request described above for those.

You can request a cross-semester course room as follows: Navigation bar → Course request → Cross-semester. This opens a form that looks like this:

Please fill in all required fields. In the reasons field, you can also state wishes for setting up the course, such as imports, enrollments, or other administrative tasks that we should take care of while creating it.

H5P-Inhalte werden nicht angezeigt oder brechen ab

H5P content is not displayed or stops working

In some cases, an H5P element may not display correctly, or it may not be possible to navigate beyond certain page numbers in a presentation.

This page provides an overview of a known issue related to the current H5P Core upgrade. The problems described currently occurs knowingly in Course Presentations, Interactive Books, and Maps, but may also affect other H5P content types.

Please note that we, as the WueCampus administration, have no direct influence over the upgrade and modification process of the H5P Core. Adjustments and hotfixes to the H5P Core are made centrally by the H5P project itself and are implemented by us as part of regular system updates.

As a result of these changes, display issues may occur in existing content. Please perform the quick repair steps described below to ensure that your H5P element is displayed completely and correctly again.

Problemursache
The cause of the problem

This behavior is due to changes in the page rendering of H5P elements that were introduced with a core hotfix in early May. H5P content that uses pages or chapters and/or displays content on subpages is particularly affected. It is possible that not all of your H5P activities are affected. The fix described below is non-destructive: Existing student submissions and results will be fully preserved!

Lösung / Vorgehensweise
Solution / Approach

To make an affected H5P element compatible with the new Core version, please follow these steps:
  • Open the relevant H5P activity in your course.
  • Click the "Edit H5P content" link in the top-right corner..
  • Wait until the editor has fully loaded.
  • Do not make any changes; click directly on "Save changes."

Neues in WueCampus 5.2

New functionalities in WueCampus 5.2

The new Upgrade to WueCampus 5.2 will also bring some bigger Changes to the plattform.

We will inform you about the most important Changes and new Functions that will be available with Version 5.2

Bewertungsworkflow - Mehrere Bewerter/innen für Aufgaben
Marking workflows - Multiple markers for Assignments

It is now possible to configure assignments to require multiple markers, as well as the method for calculating the grade from the individual marks (either calculated via various methods, or manually).
Key settings include:
Site-wide default number of markers - Educators can adjust this number while setting up individual assignments. It defaults to the setting configured in Site Administration>Plugins>Assignments>Settings.

Grade calculation method - Educators can choose the automatic grade calculation method that is applied when all markers have marked an assignment submission (or opt for it to be set manually).

Workflow management - The overall assignment workflow gets automatically updated in real-time.

Benutzerfreundlichkeit in Tests und Fragensammlungen
Quiz and question bank usability

These feature updates are intended to improve the usability and consistency of the Question Bank category interface.

Users can now collapse and expand question bank categories - similar to the course categories - and edit category names directly within the interface. In addition, the question bank layout now displays question counts for each category and supports moving entire categories, including their subcategories and questions within.

Overall, these updates continue broader improvements to usability and consistency across quiz and question bank pages.

Verbesserungen im Forum

Forums are now more effective for collaboration, with Q&A discussions supporting real-time visibility of responses to enable faster, more interactive engagement during live sessions.

Additionally, expanded inactivity-based locking options—ranging from a few days to several years—give educators and institutions greater flexibility to manage discussion lifecycles based on their specific needs.

View responses in real-time in Q and A forum: The Questions and Answers (Q&A) forum is now better suited for live and interactive sessions. Participant replies can be displayed immediately after posting, without waiting for the maximum editing time (typically 30 minutes) to expire.

This ensures that responses are visible to others in real time, enabling quicker reactions, more dynamic discussions, and the ability to address questions or share insights instantly during live teaching or collaboration scenarios.

Inactivity based forum locking: This enhancement introduces additional configuration options to the existing automatic locking functionality, allowing discussions to be locked after more varied periods of inactivity. New options include:

  • Short-term durations (e.g. 2 days, 3 days) to support fast-paced or time-bound discussions
  • Long-term durations (e.g. 2 years, 3 years, 5 years) for archival or compliance-driven use cases

This flexibility ensures that forum discussions can be managed in a way that aligns with different teaching styles, course lifecycles, and institutional policies.

LMS base font size: The default font size is set to 1rem/16px for improved readability.

Einen Karteikasten als Lernmittel vorgeben

Providing a cardbox as a learning tool

With the Cardbox plugin, you can provide your course participants with prepared learning units using a flashcard system. The plugin implements a five-box flashcard system. Learning content, questions, formulas, or vocabulary (images and sounds are possible) are written on the front of a flashcard, while the corresponding information that should be committed to long-term memory goes on the back. In this plugin, this is checked either by using the flip button or by answering the question.

You can find more information about the activity on the RWTH Aachen website:

Level UP – Gamification für Ihren Kursraum

Level UP – Gamification for your course room

The gamification plugin Level up! extends the learning platform WueCampus with the option for students to earn virtual points for certain actions in the course. With these points, they advance through the course levels you define. Students can also view their own score (or that of their group) in a course-internal highscore and, optionally, compare themselves with other course participants (or groups).

Gamification in der Lehre
Gamification in teaching

Both the Level up plugin and the underlying concept of gamification in higher education place demands on the instructor that are not immediately obvious. To ensure that the gamification experience is a didactic benefit for you and your students, we strongly recommend attending the training course “Gamification in Higher Education” here at the University of Würzburg. For this reason, you must be activated for Level up on WueCampus before using it. If you would like to familiarize yourself with the plugin beforehand, you can find the Level up! documentation via the link below.
